Engaging Hayes Holton, LLC as your tenant representative will provide your organization with a thorough understanding of the market and will minimize the amount of time and resources you and your staff spend on a real estate project. The phases in chronological order of a market evaluation are:

Identifying Client Requirements and Objectives
An initial selection of properties is based numerous factors including but not limited to:

  • Available square footage
  • Economics
  • Parking availability, either free or paid, either surface or covered
  • Accessibility to major transportation arteries and public transportation
  • Amenities such as banks, restaurants, and postal facilities that are in or in close proximity to a subject property
  • Factors unique to your organization such as after-hours HVAC, an above standard parking ratio, and on-site security

Property Selection Process
Hayes Holton, LLC utilizes various research tools that provide specifics on more than 1200 multi-tenanted buildings in the Atlanta metropolitan area. An initial market survey is conducted based on this research, the client’s objectives and our hands-on knowledge of the market. Floorplans, preliminary economics, and other relevant information is obtained from landlords before selecting which properties to consider.

Initial Property Tour
The objective of the initial property tour is to provide the client a broad brush of available options. This process includes conversations with prospective landlords and a tour of the available space as well as the property’s amenities.

Obtaining Proposals
Hayes Holton, LLC will obtain proposals from all properties that satisfy the client’s parameters. Our Requests for Proposal specify our client’s objectives including but not limited to:

  • Lease term
  • Square footage requirement
  • Construction allowance
  • Rental Rates
  • Escalation
  • Hours of Operation

Preparing Economic Analysis
Hayes Holton, LLC will prepare an economic comparison and analysis of all submitted proposals. The objective is to provide an “apples to apples, side by side” evaluation of all factors that could impact our client’s long term occupancy costs. This analysis yields a thorough understanding of all information necessary for an optimal decision.

Space Planning
After a review of the economic analysis, buildings still being considered will provide layout design services. Each landlord will work closely with the client and use the building’s space planner or architect, or third party designer if appropriate. to design a plan that meets the client’s objectives. Preliminary designs are typically at the landlord’s expense and always subject to the client’s review and approval.

Legal Review of Lease Documents
Hayes Holton, LLC will obtain and deliver to the client a lease draft for their review and input. Though we are not attorneys we will remain available through the lease negotiations to consult with you, your counsel or the landlord. Hayes Holton can be active in the review process and will often be able to suggest compromises that will facilitate the process.

Post Transaction Services
Hayes Holton, LLC will maintain contact with the client to address any questions or problems concerning:

  • Lease interpretations
  • Expansion options
  • Sublease assistance
  • Additional location needs
  • Current market conditions
  • Property management
  • Related vendors
